I-9 verification: what employers need to know
For remote employees, employers may designate an authorized representative to complete I-9 Section 2 on their behalf. NotaryCincy serves as an authorized representative for employers in the Cincinnati, Dayton, and Northern Kentucky area. Written employer authorization is required before any appointment takes place.
Steps
- Confirm the employer allows an authorized representative to complete the I-9 verification.
- Have the employee bring the original identity and work authorization documents required by the employer.
- Schedule a time for the document review and employer form completion.
- Review the documents in person and complete the authorized representative section as instructed.
- Return the completed I-9 materials to the employer using the employer’s required process.

- Does NotaryCincy stamp or notarize the I-9 form?
- No. Completing I-9 Section 2 as an authorized representative is not a notarial act. No notary stamp is applied to the I-9 form itself.
- What does the employee bring to the I-9 appointment?
- The employee must bring original identity and employment authorization documents from List A, or from both List B and List C, per USCIS Form I-9 instructions.
- How does the employer send the I-9 form for the appointment?
- The employer provides the I-9 form with Section 1 completed by the employee, plus written authorization designating NotaryCincy as the representative. Instructions for returning the completed form are confirmed at booking.
